GUIDELINES FOR ALL STUDENT ASSISTANTS

As a result of a recent review of Institutional Work-Study (IWS) conducted by the Office of Internal Audit, the following guidelines must be adhered to by all Campuses.

1. Each IWS position should have a job description that includes the purpose of the job, the duties and responsibilities, and the name of the student's supervisor.

2. Students are expected to follow their job assignments in a serious and responsible manner. If the student is scheduled to work, he or she should expect there will be work assignments ready to complete during the scheduled hours. If the supervisor does not have a work assignment prepared, the student should be excused and the hours rescheduled when their assistance is required.

3. Timesheet records must include a certification by the supervisor (or authorized designee) that the student has worked and earned the amount being paid. The certification must include or be supported by a time record showing the hours worked in clock time sequence and total hours worked per day. Certification implies direct knowledge of the student having worked the hours reported.

4. Students are expected to follow a pre-determined work schedule acceptable to both student and supervisor, and report to work when scheduled. Standard policy is that students are not allowed to work during scheduled class hours, even if class is cancelled or dismissed early. Instruction regarding procedures to be followed if the student cannot report for scheduled work should be provided.

5. Work-study students who participate in intercollegiate athletic events may not be scheduled to work in time conflict with the event. This includes time on travel status and day of the event.

6. IWSP policies and procedures should be consistent with Federal Work-Study award and responsibilities.
